IMPORTANT INFORMATION ABOUT YOUR EXTENDED WARRANTY COVERAGE!
Until now Extended Warranty Companies, third party and manufactures have always honored the extended warranty claims on all HVAC equipment without question. Datacor Inc. has been one our best extended Warranty Company as far as honoring their warranty commitments. Datacor Inc. closed their doors in November 2008. This forced their warranty plans to fall to their underwriting insurance companies. Heritage Insurance Company is one of the main underwriters for Datacor Inc.’s extended warranty programs. The following are inserts from the letter we received from Heritage Insurance Company:
Effective 3/9/11 all Datacor claims will require Proof of Annual manufacture required maintenance receipts for all repairs submitted to Heritage Warranty for payment processing. If the customer cannot provide the maintenance records, NO CLAIMS WILL BE PAID.Â
ADDITIONALLY, ALL DATACOR CLAIMS WILL NOW REQUIRE PRE-AUTHORIZATION REGARDLESS OF FAILURE OR PART COST.Â
As of March 1, 2011 Heritage Insurance Company has adopted the application of the Department of Internal Revenue’s Depreciation Scale to adjudicate claims. This scale is based upon the Term of the Contract (in Months) VS the Time Used (in Months). Due to this change they are no longer covering the TRUE cost of parts.Â
For example; if a condenser fan motor costs $211.95, they are only paying $79.48.
Due to our ongoing fight for you with Heritage Warranty on your behalf, Help Service Inc. has absorbed most of these claims that have not been paid by Heritage Warranty. Help Service Inc. can no longer continue to absorb these costs and regret to inform you that some of the cost of future repair calls may be deferred back to you. While most HVAC systems installed may have a 10 years Manufacture Parts Warranty the labor portion may not be covered. In some cases the Labor may be covered and not the parts. These calls will all need to be handled on a one on one basis. In Either case Help Service Inc. will try to help with any and all future repairs by offering you our PREFERRED Pricing, a 20% discount, on all equipment repairs.    Having maintenance as part of the extended warranty conditions is not only for third party extended warranty companies; manufacture warranties adopted the same guidelines. We have already received a letter from Trane stating the same facts abo ve and we are sure the rest of the manufactures will follow suit. The key to helping us make claims move more efficiently will be keeping records. If another licensed contractor is performing the maintenance requirements then we will need copies of all invoices showing that the yearly maintenance needs were met. If Help Service Inc. is the contractor maintaining your air conditioning and heating system then we will have all the records needed for claims processing.
Help Service Inc. will be contacting you within the next few weeks to verify that you received this letter and understand the facts stated above. If you would like to call our office you can do so by calling 504-733-5888 and ask for Debra. She will be able to assist you with any questions and verify the type of warranty you have and advise you of how much warranty is left, if any, on your air conditioning and heating system.Â
In closing Help Service Inc. would like to thank everyone for their understanding in this matter as it is the only way we can continue to give you the service you desire and deserve. We will constantly strive to keep you updated on any changes that may affect our industry and how we can help you in all of your air conditioning and heating needs.
Â
Sincerely,
Help Service Inc.
